⚡ How I’m Using AI & Automations to Improve my Business

Hi! It's your BFF in biz exploring women’s experiences in entrepreneurship, venture capital, personal finance, wealth & motherhood.

It’s Doone here, your hype girl! Last week, 67% of you said AI & automations are on your mind—SAME.

As promised, here’s the first deep dive into how I’m using AI & automations to streamline my business (and hopefully yours too) to save a LOT of time in the long run. ✨

BTW—at the end of this newsy, I’ve got a little call-out for you! We’re building a pipeline of automations based on your top wants-needs-desires—hit reply and yours might be featured in next week’s newsy 😍

Let’s talk automations!

First things first—I am not a tech person. I’m not a coder. I’m not some automation genius. (Pre-ADHD diagnosis I really thought I was either dumb or just lazy lol.)

And while I know that as I keep building I’ll get way faster and better at this… This took me a long time to figure out. I went full nerd this weekend.

BUT—I loved every second of it.

If you’ve ever felt like this stuff is too complicated or not for you… I’m telling you: this is your sign ✨ we have entered a new era where we can literally do anything! ✨ with some ChatGPT handholding*

Once you get into the groove, it all starts making sense—and it will be such a game changer for your biz.

Starting with the basics….

Before diving into new automations every week, I wanted to set up a solid foundation that will make everything easier long-term.

My first key moves:

🔹 Fine-tune my own AI model (trained on my data)
🔹 Build a custom GPT (trained on my data, but for a different use case)
🔹 Start automating basic content workflows

Bc if AI is going to be my assistant, my co-pilot, my thought partner—it absolutely needs to know my voice, my style and how I actually think.

1️⃣ Fine-Tuning My Own AI Model

I want my automations to actually sound like me—not generic.

When you connect AI models like ChatGPT, Claude or Perplexity into tools like Make, they’re straight out of the box—meaning, they don’t know your style. Fine-tuning fixes that by training AI on your own data and content so it writes like you from the start.

Here’s how I did it:

👉 Collected training data – Exported past content from LinkedIn, newsletters, my pod etc
👉 Structured it for OpenAI – Formatted it into a structured dataset (JSON) with ChatGPT verrrry tightly holding my hand
👉 Fine-tuned via OpenAI’s API – Uploaded & trained the model, again with ChatGPT as my emotional support AI

Now my automations (agents, workflows, chatbots) will sound like me, making content generation faster, smoother but still vibey and cute.

2️⃣ Built a Custom GPT

While my fine-tuned model is built for automations, I also wanted a custom GPT for daily use—something for brainstorming, ideation, and structured content creation on demand (like this)

A custom GPT isn’t a new model—it’s a wrapper around OpenAI’s base model (GPT-4 Turbo) with custom instructions and pre-loaded knowledge to make it behave exactly how I need.

Here’s how I set it up:

👉 Defined super specific instructions
👉 Fed it past content, docs & data so it knows my style
👉 Set it to private (or shareable with a team)
👉 Connected channel analytics so it learns from top-performing content over time

Now, I have an AI assistant that thinks like me, ready to help whenever I need her 🚀

3️⃣ Automating My Content Workflow to Run on Autopilot

Okk all the above was to get to the star of the show! This is the first version of my AI-powered content workflow—it’s not 100% there yet, but it’s already saving time & streamlining my process.

My take right now is that AI can get content 80-90% of the way, but that final human touch is what makes it polished, personal & on-brand (especially if you like things to be cute ✨)

The goal for my first automation was to keep it simple & get it working. Here’s how it flows:

1️⃣ Auto-populating content sources

  • Make.com pulls in industry news links into a Google Sheet

  • This becomes the source material for my thought leadership content

2️⃣ Summarizing & structuring ideas

  • The links are sent to OpenAI via API, along with a fine-tuned prompt

  • The AI consumes & summarizes the key insights

3️⃣ Routing content to different platforms

  • A Router (inside Make) splits the content based on where it needs to go

  • Each channel (LinkedIn, Twitter, Newsy etc) has its own customized prompt

  • The AI generates channel-specific content drafts

4️⃣ Refining the AI-generated drafts

  • Text drafts are emailed to me for approval ✨

  • (I also tested making the visuals, but the prompts weren’t quite right yet—so I’m tweaking that next!)

5️⃣ Final edits & publishing

  • I review & refine the AI drafts (this is the human touch step!)

  • Once finalized, posts are auto-scheduled & published across platforms

My next steps: Iterating & optimising 🚀

Refine my prompts to improve AI output
Fine-tune AI-generated visuals
Connect more channels for a fully automated workflow

This is just version 1—but it’s already helping me scale content without the burnout. The dream setup is AI-powered, human-refined and automated.
